Wavee is committed to storing personal data only for as long as necessary to fulfill the purpose for which it was collected, or as required by law.
This Data Retention Policy outlines how long we retain various types of user and business data across our platforms — including Wavee and Wavee Pets — and the procedures we follow for deletion, review, and security.
Our Commitment
We aim to:
- Retain personal data only for as long as it is needed
- Ensure secure and lawful deletion of expired or unused data
- Comply fully with UK GDPR and other applicable data protection laws
1. Types of Data and Retention Periods
Resident Account Data
Name, email, building/unit info, login history
→ Retained while account is active + 12 months
Concierge User Data
Work contact info, role-based permissions
→ While active + 12 months
Business Account Info
Business name, contact details, listings, ad content
→ While subscription is active + 24 months
Pet Profiles & Activity (Wavee Pets)
Pet name, breed, photos, diary entries
→ While account is active + 12 months
Chat & Messaging Logs
Internal building chats, concierge-resident communication
→ 18 months
Service Bookings & E-commerce
Purchase or booking data (e.g. cleaning, pet grooming)
→ 7 years (for financial compliance)
Payment Info (if applicable)
Processed via third parties such as Stripe — not stored by Wavee
→ Not applicable (handled by provider)
App Usage Analytics
Anonymous behavioural data (clicks, usage patterns)
→ 36 months (aggregated/anonymised)
Support Requests & Bug Reports
Emails, help tickets, diagnostics
→ 24 months
2. Account Deletion & Data Removal
When a user deletes their account:
- Personal data is anonymised or deleted within 30 days, unless required for legal or financial reasons
- Pet profiles, forum posts, or business listings associated with the account are removed or depersonalised
- A confirmation email will be sent once data deletion is complete
3. Legal & Regulatory Retention
Certain data (such as business transactions, invoices, and tax-related information) may be retained up to 7 years in accordance with HMRC and other legal requirements.
4. Data Review Process
We conduct quarterly reviews of our data storage systems to:
- Ensure data is not kept beyond retention limits
- Maintain secure storage practices
- Identify outdated or unnecessary data for deletion
5. Secure Deletion Protocol
When data reaches the end of its retention period:
- It is securely deleted or anonymised using industry-standard tools
- Any physical records (if applicable) are shredded or securely destroyed
6. Your Rights
You can request:
